New Release Evopos 2.03

We are pleased to announce the release of EVOPOS 2.03 which has seen nearly 800 improvements since version 2.02 was released back in January 2011. This major new update can be downloaded from our Help Desk at no extra cost to our existing customers.

We'd also like to take the opportunity to give a huge thanks to all our customers for the feedback and ideas that they continue to contribute, helping EVOPOS go from strength to strength.

Some of the major changes include and new Help system which includes video walkthroughs and step by step guides, big improvements to the CRM for monitoring sales prospects, we have added a debtors control section, improved the account reconciliation and implemented links to the Feridax and Triumph EDI ordering portals.

Here are some details on just a few of areas we have made improvements:

Accounts – Debtors: Implemented a new section for producing statements and chasing customers. You can filter the customers by Account customers (if they have credit days set) or casual. You can also filter by how much they are overdue. You can set which customers to email statements to, which to print and which for both. You can add debtor notes when chasing up and set a pop-up message when anyone goes to invoice them anything

Accounts – Composite Reporting: Composite reporting is detailed reports on many different areas of your business. Many manufacturers require these to be sent in a specific format for each period. We now produce a report for automatically populating the new Honda and Suzuki Composite requirements. This can save a massive amount of time. Please see our separate documentation on this for how to set up Evopos so this is produced correctly

Accounts – Maintenance: New options to Merge 2 customers, to update Categories and Brands in sales from the latest stock settings, to update Departments in sales from the latest settings in Departments (also updates Nominal)

Accounts – Payroll: New section for payroll (Australia only at the moment – Uk is still under development). We are supplying this module free of charge to existing customers until July 2012. Calculates pay and super, produces payslips and end of year reports.

Accounts – Purchases: New browse mode to make it much simpler to browse, search and filter purchases for many different criteria. Also new options on purchases to split one invoice into multiple nominal codes or tax rates. Also option to enter additional invoices from same supplier. Also option when creating from purchase orders received to automatically split between goods and freight. New feature to pay single or group payments with internet banking in bulk using an import file (Australia only at the moment – Uk is still under development). Can make different named file for group payroll

Accounts – Quick reports: Profit and loss, balance sheet and trial balance reports improves. Note there is a further batch of improvements due early 2012 to make even better

Accounts – Reconciliation: Big improvements in reconciliation. You can set the bank statement date on Evopos so the computer reports matches your back statement line by line. Can produce for any period.

Accounts – Sales export to Accounting programs: In addition to Sage Line 50 can now export to Sage Line 200 and MYOB

Contacts – Communications: New mailing build options. Also new options to build and send Html newsletters and special offers to selected contacts with emails. Also SMS options to build and group send SMS messages to contacts with mobile numbers

Contacts – Delivery options: New delivery fields so when entering a contact it automatically sets a Delivery address. Also implement an Invoice To option so if a customer is selected with an Invoice To set it will put the original name in the Delivery address and the Invoice To name in the Inv To details. This is useful where we enter a branch address but the invoice needs to go to Head Office

Contacts – Options: New default document settings for Email, Print or Both so any Invoice or Statement can be emailed automatically. Also options to force the entry of a Purchase Order number (some customers will not pay without one). Can also set a pop-up message that will come up when anyone attempts to create or edit a transaction for that customer

Contacts Customer – Can now automatically prefix the Customer No with a code for companies who need to merge customers from different databases. The prefix would be whatever is entered in Settings / Divisions in the Customer No field. If this is blank there will be no prefix

Contacts credit terms – In Credit Days (Sales tab) you can enter the number of default days credit that customer would have from the invoice date (eg: 7 Days, 30 Days, etc). If you want to say invoices are due on a certain day of the month there are now new options where you can enter a 8?? code for the ?? of the following month (if ?? was 15 it would be the 15th of the following month) or 9?? for the ?? day of the month after next. This can be good if you do many invoices in a month as all invoices will become due on a certain date of the month and not a different one each day.

CRM New Section – The CRM (Customer Relationship Manager) gives a central place to manage contacts with the customer. This is split into Prospects, Tasks, Reports and a Summary screen. The prospects section are for when a customer is a sales prospect for one of your products, the prospect can be rated Hot, Warm or Cool and you can add the various actions for each prospect eg: Demo, Quote, Chase etc. Each prospect has a summary section to add the overall story of the customer’s requirements and issues effecting their purchase. Each action can also have additional details relating to that Action. The summary screen allows you to see each salesperson, the number of prospects they have, the actions they have performed and the number of Closed sales and Lost sales. You can implement the CRM free of charge but selecting Settings / System / Security and allowing access to the various CRM features for each applicable security level.

General New Help system – The on-line help system has now been expanded. It comprises of the main reference manual which discusses the main concepts and operations, the Step-by-step guides which take you through common tasks, and the Video walk-throughs which show you how to do common tasks. This help system will be further expanded with more detail over the next few months.

General Pictures – The picture library is store in the SQL database so it is easily available from any computer over the network or over the internet. It has been improved with several new features. This also makes it easier to apply the same picture to multiple products. It has an easier search and navigation. It has a group import option to import any number of pictures in one go. It has a new Match utility to match pictures to products by their imported file name (this can save a lot of time when adding a lot of pictures).

Items New Stock Count – New section for counting stock (stock-taking). This enables you to quickly count the stock for all stock, for a category, or for a location. There is a special Bar-code mode where you can select both the item and the quantity by barcode. If you are counting stock for a location or category it can automatically update if the category or location is wrong. When you have counted the stock it will create a stock adjustment and it will produce the documentation

Items Purchase Ordering – You can now automatically create purchase orders based on the sales history. You can select the period of history to base it on (for seasonal sales) and you can set the period you target the stock to last for. The purchase order can be based on supplier, categories, or brands. There have also been several EDI ordering formats added including Yamaha, Honda, Suzuki, Triumph and Feridax. You can create new items while creating a purchase order. You can set default ETAs for each supplier and then over-ride when items are delayed. When receiving purchase orders there are new features for adding costs and pre-viewing labels.

Items Price Books – When importing new price files you can now set and save additional margins to be added to prices in different price ranges (The original price is set in one of the customisable price fields. More options when updating stock from the price books and setting customisable price fields

Items Attributes – New Attributes feature added. A stock item can have any number of attributes set to it. An attribute can be a Model that it fits, for example if a batter fits 50 different models you can add those 50 models as attributes to that item, then in the sales screen you can select advanced search, select a specific model and it will show everything you have in stock for that model (including the Battery). You can also set attributes for other things such as Discontinued, Top sellers, Race parts, Pete’s favourites etc

Items Stock maintenance – Many new options included advanced Export and import to make it easy group importing stock complete with categories, brands, attributes etc. Group updates for Minimum Qtys, Optimum Qtys and padding numbers to different lengths. Now works with multiple stores.

Sales Improvements – Actions improved for Kits and Selectable items, can also change quantities for kits. More options to stop users sell below a minimum price or below cost, also new Quick report in Items to show all items sold with a low margin. More information on customer showing on invoice screen such as phone numbers, also now shows price levels and if on stop next to address. New easy search browse screens for Recall and book to Job. Automatically email invoices based on customer settings (default document send). New pop up message when a specific customer is selected. Force customer order number to be entered for specific customers. Layby feature on Sales Orders allow any part payments to be allocated to that transaction and shown when reviewing. If an existing sales order exists for a customer and you attempt to add another transaction for that customer it will prompt to add it to the existing transaction.

New Web Browser – New integrated Evopos internet web browser allows controlled access to web sites dependant on security levels. This allows you to setup a shared menu of web-sites users can visit. Depending on the security level some menu items can be restricted and manual entry not allowed.

 New Web-Link module for integrating with Web-Stores and unit trader sites – Evopos Web-Link module can automatically populate web stores with new products and receive orders placed on a web store. This can work with several web stores, we even offer our own free Evopos standard e-commerce web-store (you can add advanced add-on features for a nominal cost). The Web-Link module also allows you to automatically send your bike or car stock to one of the popular trader web sites such as Bikes4Sale, CarPoint, MCN, Trader, Bennetts  

There are also even more great new features in the pipeline. We hope to release Evopos 2.04 in February 2012
